Terms & Conditions – Xenia Events

The following Terms and Conditions (“Terms”) apply to all bookings made by you (“Client”) with Xenia Events LLC (“Xenia Events,” “we,” or “us”) and govern the sale of travel packages, event tickets, and related services in connection with events (“Event”). By booking, you acknowledge that you have read, understood, and agreed to these Terms on behalf of yourself and any travelers in your party.

1. Booking & Payment

• Completion of a booking online, by email, or by phone constitutes acceptance of these Terms by all travelers in your party.
• Full payment is due at the time of booking unless a written payment plan has been confirmed.
• The booking party is financially responsible for all travelers included in their order.
• All prices are in U.S. Dollars and subject to change based on market demand. Ticket prices may be above or below face value, and errors in published pricing may result in cancellation of an order.

2. Shipping & Ticket Delivery

• Event tickets typically ship 1–2 weeks prior to the Event, unless otherwise specified.
• Shipping is included with all orders. Address changes must be submitted at least two weeks before the Event.
• Xenia Events is not responsible for lost, stolen, or damaged tickets but will assist in coordinating replacement where possible.

3. Cancellations & Refunds

• All sales are final. No refunds or exchanges are permitted.
• Xenia Events is not liable for cancellations, delays, or changes caused by weather, scheduling, illness, transportation issues, or other events outside our control.
• If amendments are requested, we will attempt to accommodate them but cannot guarantee changes.

4. Travel, Hotels & Third-Party Services

• Travel, hotels, and accommodations are provided through reputable third-party suppliers. We are not liable for their negligence or policies.
• You are responsible for complying with hotel/transportation check-in requirements. Failure to do so may result in a “no-show” and forfeiture of services.
• Hotels may require a credit card hold or cash deposit for incidentals, payable directly by you at check-in.

5. International Events

• You are solely responsible for ensuring valid passports, visas, vaccinations, and travel insurance where applicable.
• International travel may involve health, safety, and legal risks. By booking, you accept these risks and agree to take appropriate precautions.

6. Liability

• Xenia Events secures your arrangements with suppliers but is not liable for acts, omissions, or service failures by third parties.
• You agree to release Xenia Events from liability for any damages, injuries, or losses occurring during your travel or attendance at the Event, except to the extent required by law.

7. Governing Law

These Terms are governed by the laws of the State of Texas, USA. Any disputes will be resolved in the courts of Texas.

8. Privacy

Xenia Events does not sell or share your personal information. For details, please review our Privacy Policy.
