The following Terms and Conditions apply to all bookings between the Client or “you” and Xenia Events or "us" and relate to the sale of all travel packages, event tickets, and other travel amenities by us to you in connection with the events ("The Event").
Online Booking: When you complete a booking, you accept the terms and conditions on behalf of you and your party. By booking over the internet, by email or verbally, by phone, you agree that all members of your party have read and accept the terms and conditions. Travel Agents cannot book a travel package on behalf of their client. All persons must be aware of and understand that they are subject to Xenia Events’ Terms and Conditions.
Payment: The total balance of the ticket/travel package is due upon purchase, or as specified in your payment plan. If booking for a group, please note that the person responsible for booking is also responsible for payment of all persons on the booking. It is your responsibility to inform all persons in the party of the terms and conditions of the booking. We accept all major credit cards. All prices are in US Dollars. International event prices will reflect current exchange rates and are subject to fluctuation. Please note that all prices are subject to change. Xenia Events is not the official box office for any event, and our ticket prices may be higher or lower than face value, depending on demand in the marketplace. While we do our best to keep prices up-to-date, reflecting the current marketplace, if, for any reason, pricing is listed incorrectly on our website, Xenia Events has the right to cancel any orders placed for that event at the incorrect price. Shipping: On behalf of Xenia Events, all orders include free shipping. Clients are not responsible for a shipping fee. Event tickets normally ship 1-2 weeks prior to the Event, unless otherwise specified, to the shipping address provided by you. Should you need to change the shipping address, you may do so up to two weeks prior to the Event.
Booking Amendments/Cancellations/Refund Policy: All sales are final. There are no refunds or exchanges. If there is an issue with your order, you will be contacted within 2 business days. Xenia Events is not liable for any refunds due to weather, scheduling, event postponement, flight delays, illness, disasters, government actions by foreign countries, or any other reason. If you wish to make an amendment to your booking, please let us know in a timely manner and Xenia Events will do its best to honor your request.
Liability - Tickets and Accommodations: All tickets, transportation, hotels and other accommodations provided by Xenia Events are provided through various reputable and trustworthy third party suppliers that we have established relationships with over our years in the industry. We are responsible for securing your booking with these suppliers. However, should any of these suppliers not meet their requirements, we are not responsible in the event of their negligence. We will do our best to ensure that the travel package purchased by you is delivered to you with all accommodations listed on our website. Xenia Events is not responsible for any lost, stolen or damaged tickets. However, in the event of a lost, stolen, or damaged ticket, we are happy to assist you in the process of obtaining a new one. Please note that although we secure your reservations, you are liable for the use of your accommodations. You must check into the reserved hotel on the scheduled arrival date, as well as be ready for your transportation services at the agreed upon time. Failure to do so could result in you/your party being deemed a “no show” by the hotel or transportation company. In the event that you will be arriving late for your hotel stay or transportation service, please contact the vendor directly. Xenia Events has no control over hotel/transportation policies and we are not responsible for providing a refund or for any extra fees that these companies may require (i.e. tip, card-holds, etc.) It is important to note that hotels may require a credit card hold or cash deposit in case of any incidental charges. You/your party are responsible for this payment, that will be refunded at the end of your stay, if there are no incidents.
International Events: Please ensure that your passport and/or visas necessary for your trip are valid for the entirety of your trip. It is your responsibility to check the specific passport/visa requirements for the country of your destination and ensure that you have the correct forms of ID ready for your trip. Be aware that some international events may be hosted in regions with a lower standard of medical resources/safety than that of the United States. By booking a travel package for events in those countries, you agree that you understand the risk involved and are liable for taking the necessary precautions for preparation (i.e. travel insurance, necessary vaccinations, etc.)
Applicable Law: These terms and conditions are interpreted in accordance with the laws of the Constitution of Texas, United States of America. Any disputes may be resolved by the ordinary courts in the Constitution of Texas, United States of America.
